Large Format Document Scanning supports oversized materials up to 36 inches by 72 inches.
This service is designed for digitizing large documents such as blueprints, architectural drawings, construction plans, engineering diagrams, maps, posters, and other oversized materials. Files may be scanned in black and white or full color depending on project requirements. All work is completed by trained professionals in a secure scanning facility to ensure document protection and image accuracy.
Customers are responsible for shipping materials to and from our scanning center. Services may be available through cooperative purchasing agreements including Vizient, Systec GSA, Systec TXMAS, Kansas State, University of Texas, Texas A&M, Oklahoma University, and others. All processing takes place in a controlled environment operated by personnel trained in secure document handling procedures.

Technical Information
- Images are scanned at 300 DPI in full color. Scanning up to 600 DPI is available for an additional charge.
- Optical Character Recognition (OCR) is included, providing full-text search capability within PDF documents using standard search functions.
- File naming and indexing are created from client-provided data files with a maximum of three indexing fields.
- Accepted indexing formats include CSV, Excel, SQL, Tab Delimited, Access, and other electronic file formats.
- Documents are delivered in multi-page PDF format. Other file formats are available upon request.
Ordering Process
- After an order is placed, a customer service representative will provide shipping instructions for sending your documents to our scanning facility.
- The customer provides a data file for indexing prior to scanning.
- We confirm receipt of your documents once they arrive at the scanning center.
- An intake audit is performed to match physical documents to the submitted data file.
- Each document is tracked throughout preparation and scanning in case retrieval is needed during processing.
- Preparation includes removing staples and paperclips, flattening folded areas, and adjusting notes that cover text.
- Documents are scanned using large format production scanners designed for oversized materials.
- Quality control reviews each image to remove blank pages, crop edges, rotate images when necessary, and confirm readability. Blank images are not billed.
- Completed files are delivered on an encrypted hard drive. The encryption code is provided separately for secure access.
Post-Scanning Options
- Original documents are retained for 60 days following delivery of electronic files.
- After 60 days, you may choose to:
- Have documents securely shredded for an additional fee.
- Have materials returned to you, freight not included.
- Continue physical storage for a monthly storage fee.
- Request digital image hosting for a monthly fee.
